Arrival / Departure Protocol

The below protocol is intended to provide housekeeping with formal written notification of your planned condo use and serves as a courtesy to fellow owners to ensure that the unit will be adequately serviced in time of their arrival. Glen Arbor Outdoor will send the owners an email confirmation of their pending occupancy dates.

ARRIVAL:

Owners and guests may not enter a unit prior to 5 PM on owner-turnover Fridays. This is a Master Deed policy and subject to a $200 penalty if not respected. The short six-hour window on owner-turnover Fridays provides time for housekeeping and maintenance to be completed. Additionally, the housekeeping supervisor makes a final check of each unit at the end of that time period.

Intent to occupy a unit is to be made by the owner with Glen Arbor Outdoor via email to kirstin@glenarboroutdoor.com providing a minimum two-week notice. GAO will provide receipt confirmation. Please see the document ARRIVAL/DEPARTURE OCCUPANCY NOTIFICATION GUIDELINES for more detailed instructions. There are additional financial penalties for failing to notify GAO of intent to occupy a unit.

Please be sure to confirm your unit number and assigned schedule (A,B,C,D). A sample email message is as follows:

This is to notify you that Jim and Jane Smith (INSERT OWNER NAME), owners or their designated guests, will be tentatively occupying their unit, PP #__ from (INSERT DATES). 

DEPARTURE:

Owners and guests must depart the unit by 11 AM on owner-turnover Fridays. This is a Master Deed policy and is subject to a $200 penalty if not respected.

Please follow the “Upon Your Departure” procedures posted on the refrigerator:

  • Combine and place all dirty/used towels loosely in a bathtub.
  • Leave used bed sheets on the unmade bed.
  • Collect and bag all trash, tie, and deposit in the garbage bins in the woodshed. Your unit door key opens the woodshed. Make sure the shed is closed and locked.
  • Place all dirty dishes, glassware, etc., in the dishwasher and turn “on” as you leave.
  • Close and lock all windows on all three floors.
  • Close and lock all doors, including the glass deck doors on the middle and lower levels. The locking mechanism on the glass door in the living room and lower level requires that the door handle be lifted up to engage the mechanism. Without this step, the door does not seal.
  • Ensure all shades/blinds are closed slowly and carefully and left in the down position.
  • Turn off all lights.
  • In the months of November through April set all thermostats in the unit to 60 degrees Fahrenheit. Open all interior doors including bedrooms, bathrooms, closets, laundry room, and hot water tank closet doors. Also, open cupboard doors under sinks in the upstairs master bedroom/bath area, lower bathroom, half-bath on the first floor and kitchen.
